    KPI Metrics That Drive Contractor Growth

    The handful of numbers that separate a 20% margin contractor from a 5% margin one — and how to track them without drowning in dashboards.

    You can't manage what you don't measure, but measuring everything is its own trap. The contractors who scale profitably watch a short list of metrics relentlessly. Here's the list that matters and why each one earns its place.

    Gross Margin by Job Type

    This is the foundation. When you know the true margin on service calls versus installations versus maintenance, you can steer the business toward the work that actually pays. Without it, you're guessing — and usually subsidizing your least profitable work with your best.

    Revenue Per Technician

    Your field team is your capacity. Tracking revenue per billable technician shows whether you're getting full productivity from each hire and tells you when it's genuinely time to add another truck.

    Billable-Hour Efficiency

    The gap between paid hours and billed hours is where margin disappears. Drive-time, rework, and idle time all live here. Even a few points of improvement in billable efficiency flows almost entirely to the bottom line.

    Average Ticket and Close Rate

    These two together drive the top line. A rising average ticket means you're selling value, not just labor. A strong close rate means your estimating and sales process is working. Watch them by technician and by job type to see who needs coaching.

    • Average ticket — revenue per completed job.
    • Close rate — proposals won versus proposals issued.
    • Both, trended monthly and by team member.

    Cash Conversion Cycle

    Profit on paper means little if the cash arrives too late to fund payroll. The cash conversion cycle measures how quickly a dollar of cost turns back into a dollar in the bank. Shortening it through faster billing and disciplined collections funds growth without new debt.

    Keep it simple: Five metrics reviewed every month beat fifty reviewed never. Pick the vital few, put them on one page, and look at them on a fixed schedule.
